Mail Service, Package Delivery and Mail Forwarding
The Harvard Longwood Campus Mail Room provides mail service to Vanderbilt Hall residents. It is located in the Building I Annex at the School of Public Health (677 Huntington Avenue). The mail is picked up Monday through Friday from the Fenway Post Office at 1313 Boylston Street (617-375-9666). Mailroom personnel deliver it to the Vanderbilt Hall student mailboxes the following business day. Each resident has a locked mailbox in the front lobby of Vanderbilt Hall. First class and bulk mail are delivered weekdays (excluding holidays) between 7:00 a.m. and 11:00 a.m. There is a U.S. Mailbox near the front door for students' outgoing mail.
U.S. Mail that requires a signature, Parcel Post packages, Federal Express, United Parcel, Airborne Express and other freight company packages will be received at the Business Office only during office hours, and only U.S. Mail and packages from other delivery companies for current residents will be accepted. The security officer cannot sign for, accept, or distribute any packages. A package claim check will be placed in the resident's mailbox by 2 p.m. the day the package is received, provided that it has arrived before 1 p.m. (Vanderbilt deliveries typically arrive before 12 noon). Claim checks for packages received after 1 p.m. will be placed in the resident's mailbox on the following business day. Student's expecting urgent and/or overnight afternoon deliveries should contact the business office only if they have not received a claim check by 2 p.m. The package may be picked up at the Business Office weekdays (excluding holidays) between 8:00 a.m. and 6:00 p.m. Due to limited space in the Business Office, packages must be picked up during office hours upon receipt of the claim check. Unclaimed packages may be returned to sender after 10 business days.

U.S. Postal regulations prevent the U.S. Post Office from forwarding
mail for university residence halls and dormitories. This includes Vanderbilt
Hall. Harvard Students who wish to have their mail forwarded after moving
out must log on to the Harvard Student Mail Forwarding web site http://www.hums.harvard.edu/smfc
to update their address. Students may use their Harvard IDs for access
into the system. Call the Student Mail Forwarding Office at 617-496-4290
with questions regarding mail forwarding. Forwarding will start on the student’s scheduled move out-date unless an earlier start date is requested. Harvard Medical and Dental students
must provide their registrars with their new address. Students who will
be away for several months but are not moving out, must also notify the
Vanderbilt Business Office (in addition to completing the on-line form)
in order to have their mail forwarded. Visiting scholars who wish to have
their mail forwarded but do not have a Harvard Student ID may do so for
a nominal fee. They may contact the Vanderbilt Hall Business Office at

Crimson Cash is a declining balance debit account accessed through your Harvard ID. No sign-up is required. Students automatically have an account once they receive their Harvard ID card. Visiting Scholars will be issued a special Crimson Cash Card upon check-in.
Students enrolled at the Harvard Medical School (HMS), the Harvard School of Dental Medicine, and HMS graduate students receive a 20% subsidy from HMS for food purchased at one of the four on-campus food service locations when they use Crimson Cash. These include the Atrium Cafe in the Tosteson Medical Education Center Atrium, the Courtyard Cafe in the Warren Alpert Building, Elements in the New Research Building, and Sebastian ’s in the Kresge Cafeteria at the School of Public Health. Food service hours are posted at each location.
Students may add value to their Crimson Cash account by:
1. Harvard Student Term Bill. Students may visit the Vanderbilt Business Office and add value to their Crimson Cash account at any time during posted Vanderbilt Business Office hours.
2. Credit Card. Students may call 617-496-6600 or go online at http://www.cash.harvard.edu.
3. Cash. Students may go to the VTS (value transfer station) located in the Kresge Cafeteria at the School of Public Health and apply value to their account with cash.
When students buy food, they must inform the cashier that they have a "student subsidized account." The cashier will then slide the student's card through the card reader at the register, deduct the purchase (including the 20% discount if eligible), and provide the student with a display of their remaining balance.
Crimson Cash is also accepted at the four laundry facilities located throughout the building in rooms 212A, 312A, 412A, and 044 (basement).
Crimson Cash accounts are not transferable and refunds are only permitted
upon graduation or withdrawal.
If you lose your student ID card, report it immediately to the ID Office
(617-432-0389) and your money will be secure and immediately available when
you receive a replacement card. You must also report lost ID cards to the
Registrar's Office at 617-432-1515
Trash closets are located throughout the building for rubbish disposal. There are also garbage cans in the student kitchens. Residents are to dispose of trash by putting it in these designated locations NOT in the hallways. Please leave a note of warning on trash known to contain broken glass to avoid injury to the cleaning crew. Needles and syringes are to be collected in medical “sharps” boxes as provided by the health care provider, or alternatively, in puncture-proof, wide mouth, plastic jugs with threaded caps (for example, laundry detergent bottles). Discarded personal furniture or appliances must be brought directly to the dumpster with prior permission from the Business Office.
Vanderbilt Hall residents together with the Student Council have developed and maintained an active recycling program. Recycling is voluntary in Vanderbilt Hall but strongly encouraged. Residents should bring all of their recyclables to the designated areas in the building. Materials should be sorted into trash, mixed paper, and commingled container receptacles.
Mixed paper includes newspapers, magazines, phone books, white and colored office paper, junk mail with window envelopes, and flattened cardboard. The mixed paper container should not contain food wrappers, tissues, cups, pizza boxes, plastic wrappers, or trash.
Commingled containers include cans, jars and bottles made of glass, metal, or plastic. All caps and lids should be discarded, and containers should be rinsed and dried before they are deposited in the containers..
Telephone Service/PAETEC Communications
Telephone service, provided by PAETEC Communications, is available for a monthly fee. . Each bedroom is equipped with a telephone jack, and students are responsible for providing their own telephones. To activate your dial tone go to the web site http://www.uis.harvard.edu/student_telecom/ or call them at 1-800-960-6555. Dial tone is typically activated within 3 business days. PAETEC also administers the billing for telephone service. If you have questions regarding student phone service, please call PAETEC at 1-800-960-6555.
There is also a voice paging service that operates in the Residence
Hall between the hours of 8:00 a.m. and 11:00 p.m. The number for paging
is 617-432-1687.
Access to the HMS Computer Network
An active Ethernet connection is available in each bedroom. The active Ethernet jack is normally located on the lower left port of the jack plate. You need to use a CAT5e cable. If you experience any problems with your Ethernet connection to the HMS network, please call the Student Computing Support Desk at 617-432-2000 (call 2-2000 on the house phone) or email Student Computing Support at support@student.hms.harvard.edu. Wireless Access to the HMS Network
The wireless HMS Network has access points in the following areas of Vanderbilt Hall: the Deanery, the Perry Culver Lounge, the Faculty Club Room, the Joseph B. Martin Lounge, Center for Educational Technology, and the HMS IT Department. Vanderbilt residents who are eligible for an eCommons/MyCourses account can access the wireless HMS Network using their eCommons username and case-sensitive password in these designated areas. Visiting students and scholars are currently not eligible to use the wireless HMS network. P2P (Peer-to-Peer) Application Policy
Harvard Medical School does not allow P2P software usage on the wired and wireless HMS Network. (Examples of P2P applications are Morpheus, LimeWire, BitTorrent, eMule, eDonkey, AIM and ICQ for file sharing, and others in this category.) Vanderbilt residents using P2P applications will be blocked from or have limited access to the wired and/or wireless HMS Network. Note: Vanderbilt residents who must use BitTorrent for legitimate research and academic purposes may request an exception to this policy by emailing their request and reasons to the Student Computing Support Desk at support@student.hms.harvard.edu. Exceptions may be granted upon the approval of the HMS IT Client Services Group Director and the Information Security Officer. There are no exceptions for other types of P2P software usage.
Student Computer Room
The Student Computer Room is located in Vanderbilt Room 302B. It is equipped with four Windows-based workstations and is available for use 24 hours a day. One of the computers is designated for visitor use. Printing is not available. If you experience any problems with the computer equipment, please call the Student Computing Support Desk at 617-432-2000 (call 2-2000 on the house phone) or email them at support@student.hms.harvard.edu.
Coin and debit card (Crimson Cash) operated laundry facilities are located
in the basement (take the elevator at E entry to the lower level), and
on the second, third, and fourth floors near entry A (rooms: 212A, 312A,
and 412A). They are open 24 hours a day. A bill changer that makes change
for one and five dollar bills is located in the basement laundry room.
Only current residents or students who will be returning in the fall may store items in the Student Storage Room. The University assumes no responsibility for loss or damage to personal property stored in the Student Storage Room. Space is limited so we ask that each student use no more than 20 cubic feet of storage space. We do not have room to store furniture. Storage items must be labeled with the student's name, room number, the date the item was stored, and the date the item will be removed. All items stored must be packed securely. Items left after students move out will be considered abandoned and donated to charity. Storage tags are available at the Business Office or at the front security desk and are required for all articles stored.
A Business Office staff person will escort students to storage Monday
through Friday at the following times: 9a.m., 12:30p.m., and 3p.m. Please
come to the Business Office at the designated time for access.
All hallway bathrooms are designated “Women” or “Men”. PLEASE RESPECT THE SINGLE SEX DESIGNATIONS. If residents leave personal articles in the bathrooms, the cleaning crew will remove them as part of their regular maintenance in order to properly clean the facility. Items stored appropriately in designated cubbyholes or shelves are not subject to removal. The student bathrooms are cleaned once per day by the custodial staff during the school week (Monday through Friday), between the hours of 10:00 a.m. and 2:00 p.m. On weekends and University holidays the custodians only empty the trash and monitor the bathrooms. Because there are extended periods of time between cleanings, residents are asked to please take care to regularly wipe up spills and properly dispose of toilet paper, paper towels, and other trash.

There are 14 student kitchens located throughout the building. Each kitchen is equipped with a microwave, oven, stove, refrigerator, and an instant hot water tap. Cabinets are available for students to store personal food and supplies. Safety and cleanliness in these areas are the responsibility of the users. Kitchen policies are posted in each kitchen. Residents may not leave food cooking unattended in the common kitchens at any time. Small appliances that are UL approved and in good repair may be used.
There are Simplex combination locks on all the student kitchen doors. The combination will be issued to students at check-in. For fire safety, the kitchen doors may not be propped open.
The student kitchens are cleaned once per day by the custodial staff during the school week (Monday through Friday), between the hours of 10:00 a.m. and 2:00 p.m. Students must remove all personal items from the tabletops, stoves, sinks, and counter tops during this time to allow the custodians to clean more thoroughly. On weekends and University holidays the custodians only empty the trash and monitor the kitchens.
Because there are extended periods of time between cleanings, we ask that students take care to regularly wipe up spills on the stoves, countertops, and tables as well as properly disposing of odor-causing garbage.

The Joseph B. Martin Lounge is furnished with a Steinway baby grand piano for use by Harvard students. This piano is locked and the key may be obtained at the front security desk in exchange for a valid Harvard Student ID. The piano and all other musical instruments may only be played in the Joseph B. Martin Lounge between the hours of 7:00 a.m. and 11:00 p.m. There are two music rooms in the lower level at entry A, which can be used for instrumental or vocal practice 24 hours a day by students and Vanderbilt Hall residents. If you have your own musical instrument, it is preferable to practice in one of these rooms rather than in your bedroom, particularly after 10:00 p.m. The keys are available at the front security desk. Pianos are available in each of these music rooms.
Athletic Facility and Athletic Guest Privileges
There is a fully equipped Athletic Facility within the Residence Hall. It includes a regulation outdoor tennis court, an indoor basketball court, three regulation singles squash courts, two weight rooms, a cardiovascular room and a group fitness/aerobics room. Showers and day lockers are also available to students who reside off-campus. Students with a valid Harvard Student ID card may use the Athletic Facility free of charge. No one under 18 years of age is permitted into the Athletic Facility.
Students may bring guests to the facility by purchasing guest pass credit in advance at the Vanderbilt Business Office during posted office hours. Student ID cards act as debit cards to pay for guests. The guest fee is $5 per guest per visit. Please note that Crimson Cash may not be used to pay for athletic guest passes. When students bring a guest to the facility, the security officer will slide the student's ID card through the card reader and deduct $5 from the prepaid guest pass account. The student must escort the guest at all times while in the building.
The Athletic Facility, which is managed by Plus One, is also open to paying members of the Longwood Campus community. An Athletic Facility brochure featuring all of the activities is available in the Business Office. Programs include intramural basketball, indoor soccer, aerobics, volleyball, a free exercise consultation, and more. Aerobics classes are conducted by certified aerobics instructors contracted
by Plus One. If you are a certified aerobics instructor or are interested

Parking for Medical and Dental Students
Parking spaces for students at Harvard Medical School are limited. Because
more students sign up for parking than there are available slots, a committee
composed of the Executive Board of the HMS/HSDM Student Council was formed
in the spring of 1994 to determine a fair process for allocating these
slots. The student committee developed the following guidelines:
1) Priority is given to third, fourth and fifth-year medical and dental
students because of seniority and their need to travel to and from the
Harvard Longwood Campus for clinical rotations.
2) Further priority is then given to third and fourth-year students
who live in Vanderbilt Hall, since students who live in off-campus apartments
have at least some chance of parking at their place of residence.
Students who have been allocated a parking slot for a given academic
year will have the option to renew that slot for the following academic
year, and annually thereafter, until the time of graduation. Slots that
are not renewed or that open when a student graduates will be allotted
to students meeting the above criteria who are on the waiting list for
a parking space. The Parking Office, located at 180 Longwood Avenue, maintains

Students will be charged the full monthly rate for parking. Students
who do not receive a slot at the Harvard Longwood Campus but require a
space to house a car, may apply for a slot at the Soldiers Field Parking
Garage in Allston, on the campus of the Harvard Business School. This Garage
is within walking distance of the Longwood Area Shuttle Bus stop at Harvard
Square. Contact the Harvard University Parking Office at 617-495-4785 for more
information and for the rates at this location.
Call 617-432-1379 for an escort if you must walk to your car, to an MBTA
stop, or between buildings after dark. This service is for your safety
and is provided to everyone on Campus. Please allow at least 15 to 30 minutes
for a security officer to respond to your call.
In an effort to provide Harvard Medical School commuters with a safe ride home from the Longwood Campus during late night and evening hours, complimentary service is provided by Harvard Medical School to faculty, staff, and students who live off-campus.
The taxi service is not available for personal use by residents of Vanderbilt Hall. If a Vanderbilt Resident has a special academic need for taxi service, she/he must receive approval in advance from the Office of Student Affairs and Finanacial Aid in order to use the service.
Those eligible to use this service must have a valid Harvard University ID for the Medical/Dental or Harvard School of Public Health. The Medical/Dental School faculty, staff and students should go to the Security desk at Vanderbilt Hall, 107 Avenue Louis Pasteur; Harvard School of Public Health faculty, staff and students should go to the FXB Security Desk at, 651 Huntington Avenue. Security will be responsible at both locations for distributing the vouchers and coordinating the taxi pick-up. Patrons of the service will only be given a voucher at the security desk location of their respective school.
Taxi Service is available 9PM to 3AM seven days a week on a first come first serve basis.
The taxi service is free within a one-mile radius of the campus. (See maps highlighting the 1-mile radius at the Security Desk). Should your destination go beyond the one-mile radius of the campus, the taxi meter will be turned on and patrons will be responsible for the additional fare beyond the one-mile radius.
Each taxi will only go to one destination with up to four people. Multiple riders going to different destinations will require separate taxis and vouchers.
Please be aware that traffic and weather conditions may affect the timeliness of the taxi service.
Longwood Campus Off-Campus Housing Office
The Harvard Longwood Campus Off-Campus Housing Office is an extension
of the Business Office. Off-campus apartment and roommate listings are
on-line at http://mycourses.med.harvard.edu/tradingpost. They are also posted on bulletin
boards in the Vanderbilt lobby. If you are interested in renting directly
from Harvard University or an area other than the Harvard Longwood Campus

The University Health Services Clinic for the Longwood Campus is located in Vanderbilt Hall and accessible from the entrance at 275 Longwood Avenue. All Harvard students are eligible to use the services of University Health Services. The hours are 9:00 a.m. to 5:00 p.m. Monday through Friday. Complimentary taxi service to the main UHS Urgent Care clinic in Holyoke Center on the
Cambridge campus is available to students with urgent health-related concerns when the UHS Longwood clinic is closed.
UHS taxi vouchers may be obtained at the Vanderbilt Hall security desk. The Holyoke Center Urgent Care Service then provides
taxi vouchers for the return trip back to Vanderbilt Hall.

From the south, take I-93 north to exit 26 (Storrow Drive/North Station). Keep right at the end of the ramp and take the underpass to Storrow Drive. Follow Storrow Drive approximately 2.5 miles to the Kenmore Square exit (on left). Bear right at end of exit ramp into Kenmore Square. Take leftmost fork at intersection onto Brookline Avenue (keep the Hotel Buckminster on your right). Follow Brookline Avenue approximately 2 miles (Beth Israel Hospital will be on left). Turn left onto Longwood Ave and proceed 3 blocks.
From the west, take Route I-90 East (Massachusetts Turnpike) to Exit 22. Stay to the left on exit and then follow the signs marked "Prudential Center/West 9.” Above ground, you will be on Huntington Avenue. Stay on Huntington Avenue west approximately 1 mile. Pass the Massachusetts College of Art (MassArt) on your right, and then turn right at the next light onto Longwood Avenue. Proceed 2 blocks.
From the north of Boston, take I-93 south to exit 26 (Storrow Drive/North Station). Keep left at the end of ramp and take the underpass to Storrow Drive. Student Affairs in Vanderbilt Hall
The Resident Counselor for Student Affairs lives in Vanderbilt Hall and is available by appointment. She is also available in cases of emergency and to discuss urgent problems and personal issues. In addition to counseling and advising, the Resident Counselor is responsible for overseeing student life and activities in Vanderbilt Hall. She supports the personal and professional development of students living in the Residence Hall. Under certain circumstances the Resident Counselor may also assist students not living in Vanderbilt Hall.
The Resident Counselor for Student Affairs oversees the Resident Advising Program and is responsible for the training and supervision of the Resident Advisors (RAs). Through a planned series of events, the Resident Counselor offers programs and support to develop the interpersonal skills of the Resident Advisors and to address the needs and interests of the Vanderbilt community. Serving as an RA is considered a practicum in leadership, problem-solving, community building, and human relationships. The Resident Advising Program is designed to benefit both the residents of Vanderbilt Hall and the RAs throughout and beyond their school experience in the Harvard Longwood Medical Area.
The Resident Advising Program (consisting of two Head RAs and 23 RAs) was established to promote community as well as support the welfare of individual residents. The RAs are available in the living areas--organized by kitchen location--for peer counseling and advising. Each resident is assigned a kitchen. The kitchen assignments are provided upon check-in. The RAs’ contact information, including name and room number, is posted in each kitchen. All residents are encouraged to introduce themselves to their RA and to consider him or her to be a resource. Function Rooms in Vanderbilt Hall
There are a variety of function rooms located throughout the building available by reservation for student use. When the function rooms are not reserved, they are available as student lounges and study areas. For all Student Council Organization events, the Common Room, and the Oliver Wendell Holmes Library must be reserved by completing a form at the Student Affairs Office at 260 Longwood Avenue, room 244. For any private social gatherings, rooms may be reserved through Room Scheduling at 617-432-2020. For large parties, special events or if liquor is being served, it may be necessary to secure a police detail and a special entertainment license from the City of Boston as well as purchase special liability insurance. In the spring of 2005, students petitioned the Harvard Medical School (HMS) administration requesting a student lounge that would give M.D. and Ph.D. students a place to mix, mingle, and share ideas with other students and postdocs. On June 6, 2006 the renovated Best Common Room of Vanderbilt Hall was officially commemorated and renamed the Joseph B. Martin Student Lounge. Named after the dean of HMS for his efforts in helping to create the facility, the repurposed lounge is now equipped with a large flat-screen TV (with DIRECTV satellite TV service) and new audio equipment, along with couches and plush high-backed chairs. The rich architectural character of the original space was retained while a series of differently-sized meeting spaces were created. There is a cozy fireside location, a bar, and window seats that take advantage of the deep window openings along Longwood Ave.
The Joseph B. Martin Student Lounge is available from 7:00 am to 11:00 pm to all Harvard Longwood students and postdoctoral fellows. The space can accommodate receptions, meetings, and parties, and there is a baby grand Steinway piano, donated by Aesculapian Club, available for practice by students. Through the efforts of the HMS/HSDM Student Council, and a generous contribution from the Aesculapian Club, the Deanery (located at entry I) was completely renovated and modernized in 2006. There is a large plasma screen television with DIRECTV satellite TV service and surround sound. Numerous tables and comfortable chairs provide a relaxed atmosphere as an alternative to dormitory rooms. There is also a small kitchen. Adjacent to the Deanery is a large patio that is ideal for BBQs, weather permitting. The space serves as a lounge for student groups to gather for meetings, small potluck dinners, and luncheons. It also serves as a popular spot for birthday parties and post-exam celebrations. Students may reserve the Deanery and Deanery patio by emailing the HMS/HSDM Student Council. The Faculty Club Dining Room (Club Room) is a lounge located on the first floor at entry C. Like the Deanery, it is also a lounge with an attached kitchen available for student use.
The Oliver Wendell Holmes Library
The Oliver Wendell Holmes Library, located off the front foyer across from the Business Office, is available to students for relaxing, and having study groups when it is not scheduled for meetings. The Library contains a collection of books (donated over the years by the Aesculapian Club) which may be borrowed on the honor system. Students, alumni, and management often donate books and magazines. There is also a photocopier available for students to use with Crimson Cash. The Perry Culver Lounge is located on the second floor of the Deanery at entry I in room 273. It provides comfortable seating for group entertainment. It contains a TV with DIRECTV satellite TV service, a VCR, and comfortable chairs. It is also a light and spacious room for group study. A sign up sheet is located near the front entrance where students may reserve the room.
This room is open all students, staff, and faculty. It is located in room 166 near the Deanery Lounge (entry I). It is administered by a student committee in conjunction with the Resident Counselor for Student Affairs and is used for prayer and meditation, as well as religious, spiritual and philosophical study and activities. It is not intended for academic study. This room may be reserved by calling the Resident Counselor for Student Affairs at 617-432-1980.
The Muslim Prayer Room is located in the basement at entry A. It is
open to all students and is used for Muslim prayer, mainly Dhuhr and Maghrib
prayers. It is also used to break fast during Ramadhan as well as for other
religious and educational activities. Access to the Muslim Prayer Room
may be arranged by contacting the Buisness Office
at 617-432-1629.
The responsibility for maintaining clean and sanitary conditions rests with the residents utilizing the kitchen.
Resident Advisors oversee the operation of each kitchen area (including
the recycling program), under the broad guidance of the Resident Counselor
for Student Affairs. Procedures for smooth operation and sanitation should
be established by the membership of each kitchen unit. Continued operation
of the kitchens will be contingent on the considerate actions of all residents
using the kitchens.
Other Student Lounges and TV Room
There are student lounges on floors 2 through 5 across from the elevator.
These are open and available for quiet study 24 hours a day. Room 402 is
available as an alternate TV room to the Culver Lounge.
