1. Telephone Rate Reductions for AY03
University Information Systems (UIS) Telecommunications is pleased to announce rate reductions in several telephone service areas. Vendor negotiations for lower costs and reductions in debt have enabled these lower rates, which will be passed along to departments effective July 1, 2003. Cost of calls, as well as monthly line and voicemail rates will be reduced. The specific reductions are noted below:

  • Usage: Domestic long distance by $.01/minute. International long distance by $.05/minute average.
  • Voicemail: $1/month per standard box.
  • Lines, both analog and ISDN: 50 cents/month per line.

2. Telecom Billing Code Change for Sponsored Accounts
The Office for Sponsored Research (OSR) and UIS Telecommunications have just instituted a procedure that should help prevent phone charges being posted to grants after they have entered the disabling process. Details of the new procedures are on the UIS website at:

If your sponsored account is about to close (or has already), please notify UIS to change the account coding so charges no longer post to this sponsored account. In order to ensure that UIS charges are not posted to a disabled account, OSR will provide UIS Telecommunications with the values of accounts disabled on a monthly basis. UIS will work with departments to identify disabled accounts. At the department's discretion, telephone charges to disabled accounts can be posted to a default account specified by the department. This interim measure can be taken until the departmental contact has requested a new account code to bill the telephone service.

Please note: it is the department's responsibility to notify UIS of the new account to be used. HMS departments who wish to change a telecom billing code, contact UIS directly by e-mail at telecom_billing@harvard.edu, or by phone at 495-5457. Please cc: valerie_keogh@hms.harvard.edu for all sponsored billing changes.

3, American Express Card Holder Satisfaction Survey
All American Express Corporate Cardholders were sent a message asking that they participate in a brief survey. 4, Reminder on Journal Naming Conventions
Please remember when you process a journal that affects another tub or department to include your name and phone number in the Description field on the Journal Entry screen so that the other department can contact you should a question arise about your journal. If you have questions regarding an entry where someone has not left their phone number, you can look up the journal on-line through the General Ledger system and click on HELP. The Harvard ID number of the person who prepared the journal should appear on this HELP screen. You can also contact David Smallwood at david_smallwood@hms.harvard.edu or 432-0537 and he can assist you in finding out who made the entry.
