Announcement from HMS Finance Office:

This notification is to remind you that registration is now open for training users on how to process reimbursements in the new revamped Web Voucher system (replacing STAR). This not only includes reimbursements for employees but also those individuals who were previously paid on NERF forms. The University has created a Universal Form which enables you to process both employees and non-employees on the same form! You will be able to request and settle out-of-pocket expenses, direct payments to American Express, and process advances. This training will support STAR proxies, approvers, and current Web Voucher users.

Training will begin on Monday, April 2, and seats are still available for the following two kinds of training classes:

1. Using Web Voucher for Reimbursements: A briefing for Current Users. This is a 90-minute course for experienced Web Voucher Users and STAR approvers. The course covers: key tasks in the new system;the redesigned business process; differences between the Create Reimbursement and Create Web Voucher options; how to create a vendor; special handling of American Express payment, credits, travel advances; and a review of the petty cash and multiple invoice process.

2. Processing Vendor Payments and Reimbursements Using Web Voucher. This is a half day (4 hour) course for STAR proxies with no prior Web Voucher experience and new hires who must learn to process both vendor payments and reimbursements. The course covers: when to use the vendor payment, reimbursement, P-card and extra compensation payment; creating vendor payments, American express payments, and reimbursements in Web Voucher; key policies; how to create a new vendor or reimbursee; special processes such as multiple vendor invoices, petty cash, travel advances, credit memos, and American Express credits; and how to use the system to research payment status and history.
